Our client, a live-booking agency is seeking a proactive Booking Assistant to oversee a busy schedule of dance artists.


Key responsibilities willinclude:

  • Updating roster online and in office, weekly ticket sales, database records as well as artist date and upcoming shows sheets.
  • Collaborating closely with promoters, Artists and their managers to ensure that their tour requirements are met.
  • Sending promo material upon show confirmation along with general artwork for approval.
  • Obtaining deposits and balances from promoters in a timely manner.
  • Ensuring Promoters received Artists’ Riders, press kits and any other technical specifications.
  • Overseeing schedules relating to national advertisements.
  • Obtaining ticket links for tours that will be sent to Artist Managers.
  • Issuing and chasing Promoter and Artist Terms of Business and other signed contracts.
  • Providing UK work permits for non-EU artists performing domestically, working with management to obtain relevant information.
  • Greeting visitors, answering telephone enquiries and occasionally covering reception.
  • Working occasionally with other Agents and/or their assistants.
  • Providing show confirmations, contracts Indemnity Letters when necessary.
  • Ensuring Artist contract templates are kept up to date with any changes.
  • Collaborating with Artist Accountants and promoters on tax issues and required paperwork and occasionally raising invoices for Artists.


  • Superlative organisational skills and able to handle multiple tasks.
  • Planning skills and good time management is essential.
  • Proficiency on Mac computer use and related software, such as Apple Mail.
  • Competency in using MS Office suite, to include Excel and Word.
  • Able to thrive in a fast-paced environment and use own initiative.
  • Excellent attention to detail.
  • Previous experience using Filemaker Pro would be helpful.
  • Working knowledge of Dropbox, Evernote and Google Drive.
  • Knowledge of and passion for dance music essential.
