Job Details

Our client, a global music publishing company, is seeking a EA to support the Vice President / Senior Vice President for a temporary contract.

Key responsibilities will include:

  • Extensive diary management and coordinating meetings across multiple time zones.
  • Taking calls and relaying messages promptly.
  • Coordinating both domestic and international travel, booking cars and airport transfers etc.
  • Compiling itineraries and managing busy schedules whilst travelling.
  • Preparing meeting agendas and assist with preparation to include compiling information and researching topics where necessary.
  • Booking hospitality, meeting rooms and meeting refreshments for office-based staff events.
  • Greeting all external clients and providing refreshments.
  • Booking and researching restaurants for business meetings and similar.
  • Collating and preparing departmental newsletters for company wide distribution, liaising with managers across territories to inform newsletters.
  • Create and update senior contacts, files, and industry publications.
  • Ensuring deadlines are met, directing documents to relevant parties, and obtaining approvals as needed.
  • Assisting with special projects as needed to include research and compilation of information.
  • Processing monthly expenses, approving expenses of direct reports.


  • Solid experience in an administrative supportive role with high responsibilities.
  • Experience in music publishing or similar is preferred.
  • Knowledge of contemporary music and related trends.
  • Demonstrable satisfactory equivalent of education/experience//training to related fields.
  • Knowledge of general business practices
  • Highly organised, able to time manage to meet deadlines.
  • Strong attention to detail.
  • Excellent communication skills both written and verbal.
  • Flexible with office hours due to time zone differences.
  • Ability to work within a team effectively.
  • Demonstrable adaptability to changing circumstances.
  • Robust work ethic and motivation.
